Staff (IST, JPT) next steps

International Service Team (IST)

The IST is made up of adult volunteers from all over the world who run all the activities and services at the jamboree on behalf of the organisers. There will be different departments including those working on the sub camps, onsite programme such as Cross Road of Culture, City of Science and Global Development Village, Faiths and Beliefs Zone, offsite activities such as Community Service, Exploring Nature and Water Activities Site Management, Transport, Food and Trading.  Nearer the jamboree, we will have more information about the departmental and job allocations. Please note it cannot be guaranteed that everyone will be allocated to their preferred department.

IST members will need to be adaptable, especially given the location of the jamboree and the cultural differences and language barriers that this brings. Days at the jamboree are generally long, sleep is at a premium and IST jobs may be physically and mentally demanding. The size of the jamboree site is very large and there is no transport to get around other than by your own means. It will also be very hot and humid in Japan, which will be challenging.

The role of the IST starts from selection in the UK right through to after the Jamboree.

Jamboree Planning Team (JPT)

There are two types of JPT roles; those who applied for JPT via the Scout Association of Japan and those who applied via the UK Contingent. Applicants must meet the following 3 criteria:

•    Jamboree or large event experience
•    Team leadership role or clear potential to be a team leader
•    Commitment to contribute prior to the event

If you have applied for JPT via Scouts of Japan you will be asked to assist with planning work. Your contribution might include suggesting activities you know, helping to design an activity area, or writing/reviewing instructions written in English, for example. Please note it is unlikely that you will be going to the jamboree in this role. 

If you have applied for JPT via the UK Contingent you may be asked to assist with planning work as detailed above. You may also have a different role on site such as managing an area or a team.  

Only the JPT who applied via the UK Contingent will pay the fees listed below. The JPT who applied via Scouts of Japan will not pay any fees to the UK Contingent.

Fees for IST/JPT

The fee options are:
  1. Option A – includes the Mimasu experience where the JPT and IST will be staying in Japan’s capital city and participating in the wide variety of cultural and exciting activities unique to Japan. This exciting package includes accommodation, travel, food and activities and is a fantastic opportunity to see one of the most thrilling cities in the world.  This package also includes all flights and transfers provided (from a UK regional airport).
  2. Option B – this package is for the jamboree only with all flights and transfers provided from a UK regional airport.
  3. Option C – jamboree only (the organisers will arrange transport from local Japanese airports and/or train stations, this is to be confirmed). All transport must be arranged by the individual.
  4. Option D – jamboree and Tokyo experience only (the organisers will arrange transport from local Japanese airports and/or train stations, this is to be confirmed). All transport must be arranged by the individual.
For all of the above options, kit including uniform and a tent will be provided. IST/JPT will be to an all adult event in May 2015. The cost of accommodation and the programme are also included.

Exact dates for Options A and B are to be confirmed, but the arrival date at the jamboree is 25 / 26 July 2015 with departure on 9 August 2015.

IST/JPT next steps

 Your IST or JPT role is about making sure the jamboree runs as smoothly as possible for the young people. Imagine a job that needs doing such as running workshops, catering, cleaning showers – and you could be doing it. And doing it to the best of your ability, in a team of international adults from all over the world.  Remember that your role has started now and you are supporting the planning for the UK Contingent. As part of this we will offer training and information throughout the build up to the jamboree but it is up to you to be prepared.  Please see our resources page for links to websites and resources you may find helpful. Additionally, we will be sending out regular bulletins to informing you of any updates and calls to action.

Insurance

The Scout Association, through Unity (Scout Insurance Services), has arranged a comprehensive cancellation policy to cover the payments being made to SAJ, if the event has to be cancelled. This means your payments are protected.

TSA is currently in discussions with Unity to arrange the individual insurance policies required to cover your personal possessions, medical and repatriation costs and individual cancellation. This would cover you, if you are unable to attend the Jamboree for reasons outside of your control. Full details of the cover will be provided to you in due course. Your insurance cover is included in the overall cost to you, so there is no need for you to buy your own cover. If you are planning to take expensive electrical items such as cameras or tablets, you should check the levels of cover on the policy to ensure they are adequate. We are unable to amend individual policies so you should consider covering high value items under your household insurance if they do not suffice.

Unity has arranged insurance for the UK contingent to every World Jamboree since at least 1990, taking the worry about arranging your own insurance, so you can enjoy your adventure
